"Build It And They ... Didn't Come", Does this Sound familiar?

Unfortunately, the phrase "Build it and they will come" is used too often... "Build it and absolutely no one uses it!".

Even "out of the box" services like Microsoft Teams and SharePoint can suffer this same fate. In fact, if you're not careful, you can spend a fortune on training, deployment, customization and hardware which ends up being wasted.

Let's examine some of the most common reasons why new IT systems often fail:

  • End-users weren't involved or engaged throughout the implementation.
  • End-users quicky became frustrated with the new system because it didn't improve old processes or systems.
  • There was a lack of end-user training and change management.
  • No Champions program was rolled out to help drive awareness and adoption.
  • The new system didn't serve the business processes required.

Does this sound familiar? If so - keep reading!

Would this Workshop benefit me?

The risk of failing to execute a coherent ‘end-user’ adoption strategy, is that the return of investment in a new solution is never realised. This is an outcome we need to avoid!

If you're performing a role such as IT Specialist, Head of IT, Product Manager or anyone that has "adoption" as a key performance indicator then you will get oodles of value by attending this workshop.

Although Rob's specialism is around deploying and using products like SharePoint and Microsoft Teams, the techniques, strategies and principles in this Workshop apply perfectly well to any "new IT system".

Take the Test! Do you 'agree' or 'disagree' with the below statements?

  • We've deployed a new system (such as Teams) but staff don't use it and have continued to use old applications and methods. (AGREE/DISAGREE)
  • Even after deploying Microsoft Teams, we've still got file attachments in email and stored on network drives. (AGREE/DISAGREE)
  • Our staff are constantly grumbling that they don't know how to find anything on the Intranet or in Teams. (AGREE/DISAGREE)
  • Our new process is so much better and even saves staff time, but they just refuse to use it. (AGREE/DISAGREE)
  • To be perfectly honest, I don't have a clue if it's been a successful rollout or not. We just don't have enough data to make an informed decision. (AGREE/DISAGREE)

Did you AGREE with any of those statements because they resonated with your roll out? Then this Workshop could well be the best thing you ever attend! Rob Bogue has helped hundreds of organizations create and manage a perfect end-user adoption campaign and he wants to teach you every single step.

Will the Workshop still apply if we've already gone "live" and rolled out our new system?

Definitely. Even if you’ve already rolled out a Microsoft 365 services (like Teams) but didn’t roll it out well, you’ll learn how to recover. You’ll identify how to change perceptions, communications, and the way that people are using the platform.

What kind of Microsoft 365 services can this adoption Framework be used to manage?

The principles and processes in this 4-part adoption framework can be applied to any new "IT system" that causes a change to a business processes . Examples of where it can be used for great success:

  • Microsoft Teams
  • SharePoint Intranet Project
  • New Dynamics 365 Applications
  • Power Platform Applications

Workshop Preview

The Workshop is broken into 4 key steps and time will be allocated for you to carry out your own analysis.

Understanding your key Personas

During this exercise you will model different groups of employees, who will be affected by the roll out of your system, as personas. Defining personas is a crucial phase as it allows us to target our communication strategy and expected system usage based on key characteristics such as role, skills, perspectives, aspirations and fears.

You will learn:

  • How to select relevant groups to base a persona on
  • How to define the key aspects of each persona

"I'm going to help you identify key stakeholders in your roll out and help you focus on their needs to gain their buy in"

Defining your Key Messages

In this exercise, you will learn how to define the key messages needed to justify and explain why a change is required. Once we've communicated the "why" we can then move onto "what" is changing in the new solution. We will also look at how we can communicate performance and progress metrics in a respectful and fair way.

You will learn:

  • Why different personas need different messages
  • How to craft, clarify and target your messages

"Justifying why a new system or process is needed is key to ensuring the stakeholders become engaged in the process"

Developing the Communications Plan

By this stage we will know our key personas and messages. Now it's time to bring that all together into a comprehensive communications plan. In this activity we will need to define the number of required messages, who to communicate with, and in which channels to do so.

You will learn:

  • How to identify learning needs
  • Why multiple messages are always needed

"Ensuring the key stakeholders actually receive your messages, without tuning you out is crucial!"

Writing Your story

In this exercise, we will create a framework for communicating the change in a way that everyone in the organization can feel like they’re the hero – or, at the very least, a part of the journey.

You will learn:

  • How to write a story for each persona
  • The best way to write each story to maximise buy-in from each persona

"Stories need to speak to the stakeholders, not only so they understand, but also so they believe in the end result"
